Overview

Foolproof and Zensar partnered with University College London to design and build a new employee experience platform for one of the world's leading universities. The goal was straightforward in principle and complex in practice: replace fragmented, workaround-dependent admin processes with a seamless progressive web app that worked for everyone at the institution: from lecturers to administrative staff, across mobile, desktop and tablet.

I was part of the core design team, responsible for developing Figma components, motion, and interaction patterns, while maintaining accessibility and consistency across UCL's design component library.

The Challenge

UCL's existing systems required staff to navigate multiple platforms to complete basic administrative tasks — booking annual leave, updating personal details, managing HR workflows. The friction wasn't just inconvenient. It produced workarounds, inconsistencies, and a support burden that scaled poorly across an institution of UCL's size.

The brief required a low-code platform that could move quickly without sacrificing quality, a mobile channel that didn't previously exist, and a design system robust enough to scale beyond the initial product.

Research & Definition

We conducted three rounds of qualitative research with staff across roles — lecturers, administrators, support teams — to understand:

Parallel stakeholder workshops aligned institutional requirements with user needs.

From this, we defined five guiding design principles that governed prioritisation and interaction decisions across the platform.
